1. Purpose and scope
CLR may retain different records for different purposes. Inquiry and quote records support follow-up and service preparation. Accepted-service records support operations, billing, insurance and applicable recordkeeping. Recruiting records support the relevant recruiting process. Consent and suppression records help honor communication preferences. Security, delivery and audit records help protect systems and explain what occurred.
A single retention period does not fit all of these records. The applicable purpose, customer agreement, legal requirement, limitation period, dispute, preservation obligation and backup arrangements affect how long a record is needed. This notice does not publish an unverified deletion schedule or promise that all information is erased after a fixed number of days.
Archiving is different from deletion. A quote or message archived in a staff system may remain in business records. Unsubscribing changes permitted future marketing; it does not necessarily delete a prior quote, delivery record, consent record or limited suppression entry. Removing an active record also may not immediately remove protected backup or audit copies.
Request access, correction or deletion through the Privacy Policy's contact process. We will review the records and any applicable exception, verify identity where needed and respond as required by law. A legal hold, regulatory duty or another valid preservation requirement may restrict deletion. When retention is no longer needed for a permitted purpose, information should be deleted, de-identified or otherwise disposed of appropriately.
2. Retention by purpose and record type
Records may include customer instructions, quotes, vehicle descriptions and movement details, storage and release coordination, invoices, recruiting inquiries, correspondence, consent choices and system activity. Relevant operational and legal requirements differ by record and jurisdiction.
Completing a move, declining a quote or closing an inquiry does not necessarily end every reason to retain its records. Conversely, a possible future business use is not a reason to keep unnecessary personal information indefinitely. A specific customer retention agreement applies to the records it covers, subject to required preservation.
3. Requests, backups and holds
Identify the records and relationship involved in a deletion request. CLR may need to verify your identity, distinguish your information from another person's records and evaluate exceptions. Where information is held for a business customer, that customer's role and instructions may also matter.
Backups, delivery logs, audit records and legally preserved material may not be erased on the same schedule as an active contact entry. Records restored from backup should remain subject to applicable deletion restrictions and suppression choices. Preservation of a record does not itself authorize a new marketing use.
Truly de-identified information may be retained where legally permitted, but removing a name alone does not necessarily make information anonymous. Requests for access, correction, deletion or an appeal use the Privacy Policy's contact process.
